Buckeye Catholic at the St. Thomas More Newman Center exists to draw the students of The Ohio State University and other area colleges to Jesus Christ, aid in their vocational discernment and provide training to the next generation of church leaders. We do this under the guidance of the Diocese of Columbus and in partnership with the Fellowship of Catholic University Students (FOCUS) and St. Paul’s Outreach (SPO).

Summary of Position:

The Administrative Assistant reports to the Director of the Newman Center and is responsible ensuring Buckeye Catholic smoothly operates by maintaining a proper working environment and assisting with the logistical needs of the organization. The Administrative Assistant ensures proper supply of office supplies, kitchen needs, and building equipment. They are responsible for keeping building contracts up to date and maintaining a clean and usable kitchen. The Administrative Assistant is responsible for counting and depositing of income, processing bills and reimbursements and credit cards for the Newman Center through the diocesan finance office.  The office coordinator also assists the Newman Center development team by assisting in the execution of development related events as delegated by the Assistant Director for Advancement, assisting with database management, and ensuring proper receipt of gifts. 


Position Status: Full-Time, On-Site

Essential Qualifications                                                 

  • Bachelor’s degree or higher, required.
  • Passion, enthusiasm, and an affinity for the mission of the Catholic campus ministry, and the ability to effectively communicate it to a wide range of donors.
  • Three (3) years of experience with demonstrated success in fundraising and management of a fund development program, preferred.
  • Basic knowledge of fundraising principles and practices.
  • Ability to lift 25 pounds. 
  • Ability to manage travel and development budget.
  • Must have a valid driver’s license, good driving record, and have access to a reliable vehicle for purposes of traveling to donor meetings.

 Skills & Abilities                                                                                 

  • Thoroughness in planning and implementing work, including goals, timetables, and formulating action steps to achieve objectives.
  • Ability to be flexible, work independently on a variety of projects, within stated deadlines, in a fast-paced office environment. 
  • Effective verbal and written communication skills to work with staff, board members and volunteers.
  • Strong computer skills with working knowledge of Microsoft Excel, Publisher, and Word.  

Key Responsibilities

  • Oversees gift input process ensuring gifts are properly coded and acknowledged within one business day of the gift being made. Deposits cash and check gifts in timely manner
  • Aids the development team by assisting in the execution of the annual homecoming weekend activities, choir concert, senior banquet, fundraising gala, and other events as needed.  The planning of the events is done by the Assistant Director for Advancement, who will delegate tasks to the Administrative Assistant as needed.  
  • Creates a welcome and enjoyable work environment by helping to coordinate festivities for staff birthdays, Christmas, year start, and year end. Additionally aids in the ordering and coordination of annual student missionary retreat.
  • Maintains development database through data input and provides development team with necessary database information as needed 
  • Ensures proper supply of all routine needs for the Center including office, kitchen, and building needs
  • Manages kitchen space ensuring sanitary conditions at all times 
  • Assists development team through performing administrative tasks including but not limited to coordination of thank you notes, donor appreciation programs, and other related activities 
  • Monitors the day to day needs of the Newman Center facility, ensuring the center is properly clean and welcoming for all. Works with facilities assistant to ensure all building operational tasks are completed in a timely manner.
  • Oversees facility calendar by coordinating with internal and external partners to ensure all space needs are met. 
  • Oversees the reconciliation of credit cards, reimbursements reports, and preparation for bills to be sent and processed by the diocesan finance office.
